Overview

The Preconstruction Coordinator is responsible for the project coordination and support of the Estimating Department. This position is tasked with assisting the Estimators with pre-bid and post-bid coordination along with subcontractor pre-qualification, follow-up, communication, and other administrative duties supporting the department. This role will ensure project information during the preconstruction phase is accurate, maintained, and actionable. This role will report to the Construction Operation’s Director but will directly support the Estimators.

Duties

Core duties include but are not limited to the following:

  • Assist with solicitation for subcontractor across all projects.
  • Assist Estimators with providing updated Subcontractor List with phone numbers, emails, and contacts.
  • Assist Estimators with bid management tool (iSqFt) including assisting with bid invites, providing personal bid invites via email.
  • Assist with pre-bid walkthrough meetings as needed.
  • Assist Estimators with pre-qualification of new subcontractors and record keeping.
  • Coordinate project-based work.
  • Assist with tracking and maintaining Master Service Agreements list.
  • Schedule estimate peer reviews for Estimators and Executive Leadership.
  • Create and setup Job Project Numbers.
  • Setup folders and load preconstruction documents including plans, specs, and project narratives within construction project management software.
  • Assist Estimators with project narratives.
  • Maintain deliverables schedule, including updating deliverable calendar.
  • Assist Estimators with coverage in all divisions. Call subcontractors with outdated contact information.
  • Upload and update project data within workforce management software (Bridgit).
  • Send invite reminders to subcontractors through bid management tool (iSqFt).
  • Conduct follow-up phone calls, emails, and other communications for subcontractor participation as needed.
  • Provide informative correspondence to subcontractors post award.
  • Issue addenda to subcontractor on a timely basis and setup and distribute information to subcontractors.
  • Maintain continuing contracts and owner contracts within electronic filing system.
  • Schedule review meetings with Project Executives and Estimators to review documents prior to turnover meeting.
  • Collect turnover meeting documentation including cost reports, buyout sheet, leveling sheet, contract, proposals, permits, and any additional project specific documents.
  • Prepare the turnover meeting documentation including agenda and project narrative.
  • Organize the collected and prepared documentation for the turnover meeting.
  • Assist Estimator with final bid packages.
  • Update Maintaining Continuing Contract matrix and contract filings for each project.
  • Maintain Estimators schedule for trainings and other subcontractor meetings.
  • Manage and update preconstruction templates as needed.
  • Record, transcribe and occasionally distribute minutes of Monday morning meetings.
  • Any and all additional duties as reasonably assigned.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Education/Knowledge

  • High School Diploma or GED is required.
  • 1+ years of experience working within a preconstruction department in the commercial construction industry is required.
  • 1+ year of experience with iSqFt is preferred.
  • Basic construction process knowledge and understanding is preferred.
  • Experience with Autodesk Construction Cloud is preferred.
  • Proficiency with Microsoft Office (Outlook, Word, Excel and PowerPoint) is required.
  • Proficiency with Adobe Acrobat, Bluebeam Revu, or similar plan viewing applications is required.

Travel

This position does not require daily travel.
